Booking an appointment

You do not require a referral to book an appointment, however you may be entitled to claim a Medicare rebate for some of our psychology services if you have an appropriate referral from your GP, Paediatrician or Psychiatrist prior to your child’s appointment.

If you are unsure about the psychological assessment your child may require, please email us at info@ninedots.au and we’ll reach out to guide you through the process.

Please note, if you need to speak with us without your child in the room on the day of your appointment, please arrange for a relative or trusted friend to supervise your child during this time as we do not have a supervised space outside our consultancy room.

Payment

We are a private practice and require payment on the day of your appointment. For both face-to-face and telehealth appointments, the credit card you provided during booking will be automatically charged at the time of your appointment.

Assessment fees are payable in the instalments set out below.

Please contact us to discuss fees for additional assessment services or post assessment support, including behavioural or adaptive functioning assessments, school observation visits and attendance at school support team meetings.

Please reach out to discuss how we can collaborate with you to meet the needs of your school community or organisation.

Once we understand the support you require, we can provide the following options for our services:

  • Fixed fee based on a time estimate. This is best suited to assessments and professional learning workshops.
  • Monthly retainer designed to handle overflow work or on demand support, while allowing for cost certainty. Once we identify the level of support you’ll likely require, we’ll provide you with a monthly retainer to service those needs that your nominated personnel can draw on at any time throughout the month.
  • An hourly rate, if you prefer more flexibility.
If you are unable to attend your appointment, please cancel or reschedule at your earliest convenience so that the appointment can be offered to other clients.

As per APS recommendations, if you provide less than one business days’ notice to cancel or reschedule your appointment or miss your appointment, you will be charged the full fee for this session unless there are extenuating circumstances. Medicare and private health insurers will not provide rebates for cancelled or unattended appointments.

*Business day means a day that is not a Saturday or Sunday or public holiday in Victoria.

A Mental Health Care Plan (MHCP) is a plan created by your child’s GP to help manage and support their mental health. It is designed for people experiencing mental health issues, such as anxiety, depression, stress, or other psychological conditions. The plan can include a referral to a registered psychologist so your child can access the treatment you need.

To access the Medicare rebate available through a MHCP, you need to visit your child’s treating doctor prior to your counselling appointment. Once the plan is in place, you will need to bring this paperwork to your child’s first counselling appointment or have your referring doctor send it directly to us. With a MHCP, you can claim a Medicare rebate of $96.65 per counselling session for up to 10 counselling sessions per calendar year. After your 6th session, you will need a re-referral from your GP to assess your child’s progress and decide if more sessions are needed. Additionally, you can access up to 10 group treatment programs per calendar year.

Please check with your private health fund insurer to confirm if you have coverage for psychology services. You will need to arrange any applicable claims directly with your private health insurer as all health funds work differently.

As we are not currently a NDIS registered provider, you can only claim costs through NDIS if you are self-managed. The standard fee will be charged for your appointment and you will be issued with a receipt to claim back from the NDIA.
